You can schedule group, 1-on-1, or self-directed programs in your Welbi Planning Calendar.
To schedule a program on your calendar:
- Click into the Calendar section on the main navigation menu.
- Click into the date you wish to add a program to. You will be redirected to the Program Details page.
- On the Program Details page:
- If you are using Welbi's Library feature (you'd have the 'Library' option appearing right under the 'Attendance' option in your main navigation menu), the first step will be selecting a Program Template from your Library. You can then choose to modify the Program Title based on how you'd like this program to appear on your calendar.
The remaining fields will auto-fill based on the information you included in the Program Template. - If you are not using Welbi's Library feature, simply start typing the name of your program into the Program Title field. If you've run the program before, it will appear in a drop-down menu. Selecting it will auto-fill the remaining fields based on whatever details were entered the last time you ran the program.
- If you are using Welbi's Library feature (you'd have the 'Library' option appearing right under the 'Attendance' option in your main navigation menu), the first step will be selecting a Program Template from your Library. You can then choose to modify the Program Title based on how you'd like this program to appear on your calendar.
- Review and update the remaining program details as needed:
- Program Type: specifies whether the program is a group, 1-on-1, or self-directed activity
- Date: specifies the date on which the program is occurring
- Start Time: specifies the start time of the program
- End Time: specifies the end time of the program (this option will only appear if Program Type = Group)
- Duration per resident: specifies the average duration of the program per resident (this option will only appear if Program Type = 1-on-1 or Self-Directed)
- Location: specifies the physical location where the program is happening
- Recurrence: specifies how often the program repeats/occurs (check out this article for more information on how to set up recurrences - they are a huge time saver!!!)
- Level of Care or Home Area: specifies which residents the program is for
- Calendar: most clients have a single calendar for their recreation programs, while some opt to maintain a secondary calendar for internal or staff events; if you have multiple calendars in Welbi, this field specifies which calendar the program belongs to
- Dimension(s) of Wellness: specifies which dimension(s) or wellness relate to the program; depending on your company settings, you may be able to select more than one
- Facilitator(s): specifies which invidiual(s) will be running the program
- Hobbies: specifies the hobbies or interest areas that relate to the program (ask yourself: "what are the hobbies or interests a resident would have that would lead them to being interested in this program?"); Welbi will use this information to fuel program suggestions
- Tags: these are custom program categories set up by your company; only apply them if they are relevant to the program you're adding
- Notes a place to leave any program-specific notes for your staff (these notes are internal and not shown on printed calendars)
- When you've entered all of your program details, click Create in the bottom right corner (or Create & Take Attendance if you'd like to proceed directly to taking attendance for this program).
