Welbi Masterclass: Using Welbi to Set and Meet Your Community’s Recreation Goals

This is for teams who want to use Welbi to set goals and monitor performance. Whether it's a balanced calendar, resident attendance, tailoring programs to your residents, and more, Welbi can serve as a useful tool to meet those goals!

The importance of setting recreation goals

Some of the benefits of goal setting include: 

1. Team Alignment - Goals provide a clear direction and purpose for the team. When everyone knows what they are working towards, it aligns their efforts in a unified direction and ensures that everyone is on the same page.

2. Empowerment & Ownership - When you set goals for your team, individuals are empowered to take ownership of their tasks and outcomes. This fosters a culture where team members are motivated to take proactive steps towards improvement, rather than being complacent with the status quo.

3. Continuous Improvement - The practice of goal setting provides an opportunity to reflect on what’s what’s working and what’s not, and iteratively adjust your team’s approach to ensure you’re always striving for improvement.

4. Resident Quality & Satisfaction - By setting goals based on factors that you’ve identified as key drivers of resident satisfaction in your community (and by measuring performance against these goals regularly), you’re proactively taking steps to boost resident quality of life and well-being.

The importance of using data to drive your goals

When it comes to goal setting, it can be hard to know where to start! We recommend always starting with a review of past data. This allows you to:

  • Get an accurate understanding of your current state to identify areas of opportunity and set realistic targets. 
  • Set measurable goals, which in turn allows you to easily track progress, evaluate performance, and determine whether goals have been achieved. You can’t manage what you don’t measure!


Accessing your Program Data in Welbi

The Insights section of Welbi houses tons of valuable information, all based on your team's calendar, attendance records, resident profiles and assessments.  Reviewing these insights is a great way to get an understanding of where you stand today, where you need to make improvements, and what to keep an eye on going forward to ensure you're hitting your goals.

Below are some Program insights that we recommend taking a look at, along with some questions to consider as you review data from past months or quarters.

  • Average Number of Programs per Day
    • How many programs on average are you running each day currently?
    • How does this number compare to what you would expect your team to run each day (e.g., based on number of staff, hours, etc)?
    • If lower than expected - what’s a reasonable target for next year?
  • Resident Hobbies vs Programs Offered (Group Only)
    • Are there any resident hobbies or interest areas where program offerings are lacking?  
    • If so,  is there an opportunity to set a goal to offer more programs related to that hobby? 
  • Total Number of Programs by Dimension of Wellness
    • Are your program offerings well balanced across all of the dimensions of wellness? Are there dimensions that need bumping up?
    • Is there a question in your assessment that relates to the dimensions (e.g., ‘what kind of programs are you interested in’)? If so, compare your program offerings against what your residents have stated an interest in and see how they line up.
  • Resident Attendance
    • Are residents getting enough engagement? Is the number of programs attended by residents higher or lower than what you would have expected?
    • If its lower than expected or desired, what do you think is a reasonable goal to start shooting for next month?
  • Program Time by Facilitator
    • Is this what you would expect based on your knowledge of how many hours each person works in a month?
    • If it’s lower than expected, what is a reasonable target for each team member? 
  • Average Number of Programs by Time of Day
    • Are you offering enough programs in the morning, afternoon, and evening?  Is there a time of day that needs more attention? If so, can this be addressed by setting a goal for your team, or adjusting staff schedules?
    • Is there a question in your assessment that relates to the activity time preferences (e.g., ‘what time of day do you prefer to participate in programs’)? If so, compare your program offerings against what your residents have stated an interest in and see how they line up.

  • Total Number of Programs by Tag 
    • Tags are a great way to start tracking certain types or categories of programs, such as outings. If your communities collects feedback from residents and/or families, and starts to notice trends related to specific types of activities (such as outings, for example), you can track how often these are being offered by leveraging Tags.
