Documenting Program Attendance

Documeting attendance for your programs in Welbi helps you monitor resident engagement, prepare for meetings with families and care team members, automatically generates helpful insights and recommendations, and more!

Accessing a Program's Attendance List

Any time you see a program name shown in blue in Welbi, you can click on it to be brought directly to the program's attendance page. Here are some of the most common ways to access a program's attendance page to log attendance or review the list of attendees:

  1. From the Overview:  If your program is happening today, the quickest way to access its attendance list is by clicking on the program name in the 'Today's Programs' panel of the Overview.
  2. FromAttendance: The Attendance section is a centralized place to access attendance for all of the programs on your calendar, as well as log attendance for any unscheduled programs or activities that may arise throughout the day.  Use the filters along the top of the screen to customize your view, and click into a program to access its attendance list.
  3. From the Calendar: Click into any program on your planning calendar to open it, then on the Go to Attendance button to access its attendance page. 

Documenting Attendance

Once you are on a program's attendance page:

  1. Expand the Employee Attendance panel to document which team members were present during the program (Y = 'Yes', N = 'No).  This information will be valuable if you ever need to run a Contact Tracing report in Welbi!
  2. In the Resident Attendance panel, select an engagement level for all of the residents who were present during the program. 
    Actively Participated: the resident was highly engaged and involved in all aspects of the program.

    Passively Participated: the resident was moderately engaged in the program, only involving themselves occasionally in key tasks, actions or activities related to the program.

    Disengaged Participation: the resident was present for the program, but for the most part was not involved or engaged in tasks, actions or activities related to the program.

    For Group programs, each resident's duration will default to the length of the group program, but can be adjusted as needed per resident.


    For 1-on-1 and Self-Directed programs, each resident's duration will default to the 'Duration per resident' that was entered upon program creation, but can be adjusted as needed per resident. You can also adjust the Start Time per resident as needed.


    You can also enter a note by clicking on the Note button:
  3. If you wish, you can also choose to document an engagement level for any residents who were not present in the program. This is optional, but gives you an extra level of documentation that may be helpful during care reviews, conversations with families, etc. 

    Refused / Declined Participation: the resident was invited or encouraged to attend the program, but they declined. 


    Unavailable: staff attempted to invite the resident to participate, but they were unavailable (e.g., sleeping, out of the building, etc). This can be helpful if your team routinely documents attempts to invite residents out to programs.  

  4. When you're done entering your resident attendance information, click Save & Close in the bottom right corner.
